01Who you are contracting with
Your booking is with ARC International LLC ("we", "us"), a Florida limited liability company. Ground driving operations, the rental fleet and the safety instructors are provided by Precision Exotics LLC. Aircraft operations are conducted solely by ARC International LLC under the authority of the pilot in command.
References to "the event" mean the specific date and venue shown on your booking.
02Booking and payment
- Payment is due in full at the time of booking. We do not take deposits. Slots are limited and a partly-paid slot is one nobody else could take.
- Your booking is confirmed only when payment has cleared and you receive a confirmation email carrying a booking reference.
- Card payments are processed by Stripe. We never see, handle or store your card details.
- Prices are in US dollars and include all event costs shown on your booking. They do not include travel, accommodation, fuel, vehicle transport or anything else not listed.
- Your slot is personal to you. You may transfer it to somebody else up to 14 days before the event by telling us in writing; the new participant must sign their own waiver.
03Cancellation by you
Because the field is small and each slot is held exclusively for you:
- More than 60 days before the event — full refund less a 10% administration charge, or move to another event at no cost.
- 30 to 60 days before — 50% refund, or move to another event within 12 months at no cost.
- Fewer than 30 days before — no refund. You may still transfer your slot to another person under clause 02.
- Refunds go back to the card used for the booking and take 5–10 working days to appear.
If you cannot attend because of a genuine emergency, tell us. We are not going to be unreasonable about a hospital admission, and we will always try to move you rather than keep your money.
04Changes and cancellation by us
- If we cancel the event entirely, you get a full refund or a transfer to another event, whichever you prefer.
- If we materially change the date or venue, you may take a full refund or transfer.
- Running order, timings and the number of runs may change on the day for operational or safety reasons. This is normal at an airshow and is not a material change.
- We are not responsible for your travel or accommodation costs if the event is cancelled or changed. Book refundable travel or insure it.
05Weather and aircraft availability
Aviation does not negotiate with weather. All flight decisions rest solely with the pilot in command, whose judgement is final and is not open to challenge.
- If the aircraft cannot fly, we run the ground programme and you receive a proportionate credit or refund for the aircraft element of your booking.
- If the whole event is stopped by weather or by the airport authority before any of your runs, you receive a full refund or a transfer.
- If you have completed your runs and later parts are stopped, refunds are proportionate to what did not happen.
- Booked a flight and the weather stops it? We will offer another date first; if that does not work, that element is refunded in full.
06Your vehicle
- You must bring a vehicle that is road-legal, taxed, insured and mechanically sound, and that you are legally entitled to enter.
- Every vehicle passes scrutineering before it runs. We check tyres, brakes, fluid leaks, battery security and loose items in the cabin. We can refuse any vehicle that is not safe to run, and there is no refund if yours is refused for a fault you could have fixed.
- Tell us what you are bringing when you book so we can flag anything in advance rather than on the morning.
- You run your own vehicle entirely at your own risk. Your own insurance is your responsibility, and most road policies do not cover track or closed-course use — check before you travel.
- Convertibles, modified vehicles, and anything unusual: ask us first. We will almost always say yes, but we would rather say it before you load a transporter.
07Supplied vehicles
- If you book the supplied-vehicle entry, Precision Exotics provides the car and you select from the fleet available on the day. Specific models cannot be guaranteed.
- You must hold a valid driving licence and meet the minimum age and licence-held requirements notified to you before the event.
- You are responsible for damage caused by wilful misuse or by ignoring your instructor, up to the damage excess notified to you at the event. Ordinary operation within instruction carries no charge to you.
08Conduct — drugs, alcohol and impairment
- You must not consume alcohol before or during the event, and must not arrive with alcohol still in your system from the night before.
- You must not use any illegal drug before or during the event.
- You must not participate while affected by any substance that impairs you — including prescribed and over-the-counter medication carrying a drowsiness or impairment warning — unless you have disclosed it and been cleared.
- We may require a test where we have reason to be concerned. Refusing a test is treated the same as failing one.
- If we judge you impaired, your participation ends immediately with no refund, and you may be removed from the venue. That judgement belongs to the event team alone.
- Aggressive, dangerous or abusive behaviour ends your day on the same terms.
- Alcohol served at hospitality after running has finished is a different matter. If you drink, you do not drive again that day.
09Eligibility and safety
- Drivers must be 18 or over and hold a valid full driving licence, carried on the day. Photocopies and photographs are not accepted.
- A Precision Exotics safety instructor rides in every vehicle on every timed run. This is not optional, and driving without one ends your participation.
- You must follow all instructions from your instructor, the event team, marshals, airport staff and the pilot in command, immediately and without argument.
- You must complete the participant waiver before you are given airside access.
- Tell us in the waiver about any medical condition that could affect you at speed or under G. If in doubt, speak to your doctor first.
10Guests
- Guests need a paddock pass and must sign their own waiver before going airside.
- Guests may not ride in a vehicle on a timed run.
- Under-16s are welcome as guests at no charge but must be supervised at all times. Tell us numbers in advance so passes are ready.
- You are responsible for the conduct of the people you bring.
11Media and images
- The event is photographed and filmed. By attending you agree that you may appear in that material and that we and Precision Exotics may use it to promote our businesses without payment to you.
- Aerial photography and video remain the property of ARC International LLC.
- Purchased video and photography packages are delivered within the timeframe stated at booking. If a technical failure means we cannot deliver your package, that element is refunded.
- You may use your own footage and images personally and on your own social channels. Commercial use needs our written agreement.
12Liability
Motorsport and aviation carry risks that cannot be removed. The detailed release is in the participant waiver, which you must sign. In summary:
- You take part at your own risk and accept the risks described in the waiver.
- To the fullest extent permitted by Florida law, we are not liable for loss, damage or injury arising from participation, or for damage to your own vehicle or property.
- We do not exclude liability for death or personal injury caused by our own gross negligence or wilful misconduct, or any other liability that cannot lawfully be excluded.
- We are not liable for indirect or consequential loss, including lost travel costs, lost time or lost earnings.
- Where liability cannot be excluded, it is limited to the amount you paid for the booking.
13Data
What we collect and why is set out in the privacy notice. In short: we keep what we need to run your booking and to stay in touch about future events, we do not sell it, and you can ask us to delete it.
14General
- These terms are governed by the laws of the State of Florida, and the courts of Florida have exclusive jurisdiction.
- If any clause is found unenforceable, the rest continue in force.
- We may update these terms; the version applying to your booking is the one published when you booked, and is recorded against your booking reference.
- Nothing in these terms affects statutory rights that cannot be excluded.
